Administrative Service Coordinator

Location: Aurora, CO
Assignment Length: 26-Week Contract (12/16/25 – 06/20/26)
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Work Setting: 100% On-Site
Contract Rate: $25/hr + Benefits
Bilingual Required: English & Spanish


Position Summary

Our client is seeking a highly organized, detail-oriented Administrative Service Coordinator to support a specialized Down Syndrome Program within a busy clinical environment. This role is essential in maintaining efficient operations, supporting clinical teams, and ensuring a smooth experience for patients and families.

While there is no direct patient care, this position requires consistent interaction with families, providers, and internal staff. It is an excellent opportunity to gain meaningful healthcare administrative experience while contributing to a mission-driven program.


Minimum Qualifications

  • Education:

  • High School Diploma required

  • Associate or Bachelor’s degree preferred

  • Higher-level education may substitute for experience (year-for-year)

  • Experience:

  • 2 years of administrative and customer service experience

  • Experience in healthcare administration preferred but not required

  • Licensure/Certifications:

  • None required

  • Language:

  • Bilingual (English & Spanish) required


    Key Responsibilities

    Clinical Support Tasks

  • Prepare clinic folders; print and assemble brochures, therapy materials, and handouts

  • Maintain inventory of clinic materials and educational resources

  • Update Transition Packets and Down Syndrome Guidelines (English & Spanish)

  • Produce additional handouts as requested by the clinical team

Patient Records & Communication

  • Request medical records from outside providers

  • Maintain and update internal Phone Book spreadsheet

  • Confirm access to fax lines and electronic systems as directed

  • Call families to complete intake questionnaires and collect pre-visit information

Scheduling & Calendar Coordination

  • Create and distribute scheduling cards (if used by the program)

  • Manage multiple team calendars, including staff and provider schedules

  • Coordinate internal and external meetings, seminars, and conference calls

  • Assist with updating scheduling templates if granted access to scheduling systems

  • Provide patient scheduling support (? 50% of total responsibilities)

Team Administrative Support

  • Prepare meeting agendas; take and distribute meeting minutes

  • Track follow-up items and action deadlines

  • Provide operational and administrative support to physicians and staff

  • Arrange interviews, travel arrangements, and meeting logistics

  • Manage supplies, files, inbound calls, and basic office operations

  • Perform data entry and tracking tasks as required

  • Adhere strictly to safety and infection-control policies

Microsoft Teams & Digital Organization

  • Maintain organized digital structures within Microsoft Teams

  • Create project-specific channels as needed

  • Monitor timelines, deliverables, and project tasks

Resident & Trainee Support

  • Print and assemble Resident Packets

  • Maintain inventory of educational materials

  • Prepare training and educational packets for residents and trainees

Communications & Marketing Support

  • Assist with newsletter content and layout in coordination with marketing partners

  • Support PowerPoint creation, visual material development, flyers, and general correspondence
